booking showroom visits on WhatsApp: a guide for furniture stores.

heysteff is an AI platform for customer support and sales across WhatsApp, Instagram, Messenger, Gmail and Shopify; Steff is the AI agent that runs it. In furniture, the sale almost never closes on the first message: the customer needs to see the piece, touch the material or have someone measure their space before deciding. heysteff's appointment booking is built for that long cycle, inside the same WhatsApp conversation.

Real availability, without leaving the chat

The customer asks for a showroom visit or an in-home measurement and Steff checks the real availability of the right calendar — the showroom's, a specific advisor's, the measuring team's — and proposes time slots inside the same conversation. There's no external link to a calendar widget the customer has to open separately: booking is just one more sentence in the chat where they were already talking.

In furniture this matters twice as much: customers tend to write at night or on the weekend, outside showroom hours. Because the agent replies 24/7, it can take the visit request at the exact moment the customer thought of it, instead of waiting for someone on the team to see it the next day and probably find a customer who's already less interested.

Google Calendar sync

You connect the showroom's or the field team's Google Calendar once, and from then on it stays synced both ways: what Steff books shows up in the real calendar, and whatever is already taken there — another visit, a measurement booked by hand, a team block — is respected before a slot is offered. With multiple calendars (5 on Pro, unlimited on Max) you can separate showroom, in-home measurements and advisors, each with its own availability.

Reminders and no-show handling

A showroom visit or an in-home measurement booked a week in advance carries a higher risk of being forgotten than an immediate purchase. Automatic reminders — by default 24 hours and 2 hours before, configurable per calendar — lower that risk; if the 24-hour WhatsApp window has already closed with no activity, the reminder still goes out using an approved template. The system also automatically marks the appointment as completed or as a no-show, so the team knows who to follow up with without reviewing every case by hand.

Follow-up across a long sales cycle

Between the first inquiry and the booked visit — and between the visit and the final purchase — days or weeks usually go by. With the visual automation flow builder you set up the follow-up for that stretch: a reminder before the visit, a question after the measurement, a targeted offer if the customer was left undecided. The agent stays available to answer catalog or pricing questions throughout the whole process, without the team having to reopen the conversation each time.

That same follow-up is what keeps a customer who already visited the showroom from going cold. A piece of furniture is a decision people think over, and sometimes compare with other stores before confirming; a flow that picks the conversation back up a few days later — without sounding pushy — keeps the brand present at the moment the customer decides again.

Multiple calendars for multiple locations

If you run more than one branch or showroom, each one can have its own calendar with its own availability and its own connected Google Calendar. The agent asks for or infers the location closest to the customer and books directly on the right calendar, without mixing one branch's availability with another's.

◆ the star flow

The in-home measurement booked on its own, with an automatic reminder the day before, is where the most visits are lost to forgetfulness — and the most recovered with this flow.
